Whenever there is an option to print an invoice, Phoenix also offers an option to email the invoice. There are a number of formats available to send the invoice by email. Probably the best option is to have the system attach a PDF of the invoice. PDF is Portable Document Format, as defined by Adobe. The ability of a computer to read a PDF file these days is almost universal. Adobe makes Acrobat Reader freely available to anyone who wants to download it, so any computer unable to read this format can easily be made to do so. The big advantage of the PDF format is that the invoice will print from any other computer exactly as it would from yours. There will be no changes in the format or style of the printout. Another big advantage is that very few computers have programs installed that can edit or change the invoice that you send. You can be fairly confident that any invoice that you send will not be altered before it is printed.
RTF format is also available here. This would probably not be a wise choice for sending invoices and statements for two reasons. RTF files with images included are huge, and not email friendly for users with slow Internet connections. Also, RTF files can be edited by any Windows based computer.
