Physical accounts maintain both the movements and value of movements of animals and commodities. To maintain accurate information, all movements affecting livestock numbers, commodity amounts and valuation must be entered on the date on which they occur.
Movements
Eight different types of movements in and out of the trading accounts are possible. These movements are identified with an alphabetical code, as follows:
A. Natural Increase / Production - Natural increase records births in young age accounts such as lambs and calves, or harvest of commodities.
I. Transfer In - "Transfers" are movements of stock between accounts as animals age or move between enterprises or commodities are transferred say from produce to feed. A Transfer In is automatically countered by a corresponding Transfer Out.
P. Purchase - Stock purchase is recorded in the cash-book and is linked to the physical account to adjust the number on hand.
L. Death/Losses - Records mortality or loss of stock.
O. Transfer Out - Movement of stock out of a category. This movement is counteracted by a Transfer In to another physical account category.
S. Sale - Like purchases, these movements are linked to cash book entries for the sale of stock.
U. Rations / Used - Rations are animals slaughtered on the property for private consumption. This is also used for commodities used on the farm, such as fed to stock, or used for seed.
V. Valuation - Livestock and Commodity valuations can be altered using this code.
